Group Review

This page details our Duplicate Review Screen, its functions and how to use it.

To access the 'Duplicate Review' Screen click the 'Review' button on the right hand side of the group you wish to review. See below:

After clicking the 'Review' button, you will be presented with the below screen. It will list out for you all of the duplicates, from the selected group, against the Master Record:

Note: You can manually change or add into any of the data in the master record simply by double clicking the field you wish to change.

Note: The arrow next to each field lets you push that data value into the Master Record.


Options

  • Auto Promote: This button detects the best record from all duplicates and promotes it to the Master Record based on the global settings.
  • Auto Fill: This button detects the best fields from the duplicates and applies them to the Master Record based on the global settings.
  • Auto Exact & Merge: This button detects and merges duplicates with the Master Record based on records which are exactly 100% the same (based on a field level). 
  • Accept & Merge: This button will accept the Auto Processes you have applied and merge all duplicates with the Master Record.
  • Auto Exact & Link: This button will detect & link duplicates (Children) with the Master Record (Parent) based on fields that are exactly the same.
  • Accept & Link: This button will detect & link duplicates (Children) with the Master Record (Parent).

Previous: This will take you back to the last group you worked on.

Next: This take you to the next unassigned group.

Back: Clicking this will navigate you back to the session results screen.

Refresh: This button lets you manually refresh the page.


Linking Records

When running a match session, after identifying duplicates, you may want to link records together as opposed to merging them. This will link the Master Record (Parent) with any duplicates (Children).

This can be performed when running a Standard session by selecting Link on the group review screen.

After selecting Link, a dialog box will appear asking whether or not you will want to overwrite any existing parent values on any of the duplicates.

  • Overwrite Parent - If the Duplicate already has a parent link, it will overwrite the existing parent with the Master Record.
  • Do Not Overwrite Parent - If the Duplicate already has a parent link, it will not overwrite the existing parent with the Master Record.

NOTE: Linking records within a standard session will not flag the Master Records as 'Golden'. This can only be done when selecting 'Match Non-Golden Records' from the Session Type dropdown within Step 1 - Session Setup.

Editing Records

Once the records have been matched and are being reviewed, it is possible to view the record within Dynamics 365 CRM and live edit the records. Please select the 'View Record' Button to use this functionality.


False Duplicates

If DQ for Dynamics matches two records that you believe to be a false match you can press the below 'green tick' button:

Once pressed you will have two options:

  • Permanently Suppress
  • Temporarily Suppress

Permanently Suppress: Pressing this will pair the record with the Master so that if the master is located in any session the suppressed record will not be shown.

Note: you can change view settings for suppressed records in the “Custom Settings Menu”.

Temporarily Suppress: Pressing this will suppress the record for this session only and performing another search will result in the records being matched again and grouped. Suppressed Records section within Advanced Settings


Address Location

Address Location: This button uses Google Maps to open the address in an external pop-up to show you the real world location within Google Maps


Create Sub Groups

The 'Create Sub Groups' feature allows you to pull certain, self-flagged duplicates out of a duplicate group for separate review. These can be released to the same User or to other Users within DQ.

To create Sub Groups, select the Create Sub Groups button from the top right of the review screen:

You will then be able to select the records in which you would like to review separately. After selecting the records you want to release as a group, select Release Groups:

NOTE: You can cancel sub group creation by hitting Reset at any time.

From here, you can choose whether you want to release the group to yourself, another User or all Users. You are also able to leave a note to provide further context to other Users as to why the group has been released.

After selecting Release Groups, you will see that the selected records have been removed from this group.

Return to the previous window and you will find that a separate group has been created.

When accessing this group, it will only contain the records that you selected to export into a sub group. This duplicate group can now be treated as any other group.
