DQ Email Capture - User Guide

Introduction

DQ Email Capture allows users to check an email address's validity, structure, and authenticity in real time when capturing data. 


Getting Started

The DQ Email Capture tool operates like a standard Dynamics CRM input but includes some handy features for improving the quality of data being captured.


Features and Functionalities

Feature 1: Data Quality Checks

There are 6 possible states for the data quality checks, and which ones are available to you will depend on what your System Administrator has configured.


1. Disabled

Your System Administrator can opt to disable the Data Quality checks, if this is the case the control will look like this.

2. Not Processed (Default State)

When the control has not been interacted with yet you will see an arrow button which allows you to trigger the data quality check. The result of which will be one of the next 4 states.

3. Invalid

When the value entered is incorrect you will get a white cross inside a red circle. Seeing this indicates 1 of 2 scenarios. 1) The email address entered does not match the structure of an email address, or 2) the email address is structurally correct but does not exist in that domain.

Which of those 2 options will depend on what Data Quality checks your System Administrator has configured. 

4. Valid

If you see a single green tick, this indicates that the email address is structurally correct, it does NOT however indicate whether or not it exists in that domain.

5. Formatted

If you see a double green tick, this indicates that the email address is structurally correct, and has been processed to remove common issues (Commas instead of full-stops, etc), it does NOT however indicate whether or not it exists in that domain. 

6. Authentic

If you see a white tick inside a green circle then the email address has been confirmed as in service and if you were to send an email to it, it would be received (assuming that your email domain is healthy).


Feature 2: Data Quality Enforcement

There are 3 modes of enforcement available:

1. No Action

2. Warning

In this mode, you will get a page-level warning if the email comes back as invalid.



3. Prevent Save

In this mode, you will get both a field-level warning and a page-level warning if the email comes back as invalid, and you will be unable to save the record until a correct email address has been entered.




Feature 3: Email Client Integration

Just like the standard Dynamics offering, there is a Compose Email button which will open the Email Client you have configured on your computer.
